Copper Island Academy is seeking a full-time Middle & High School Administrative Assistant to join our outstanding educational team beginning August 3, 2026.

As the central hub of our middle and high school building, the Administrative Assistant plays a vital role in fulfilling the school’s mission by serving as the first point of contact for students, families, staff, and community members. This individual sets the tone for the school each day, creating a welcoming, professional, and supportive environment while ensuring the smooth and efficient operation of the front office.

Qualifications Desired:

  • High School diploma or equivalent required.
  • Experience in a related field, preferably in an educational setting supporting an administrator or office team.
  • Strong knowledge of office management practices and procedures.
  • Proficiency in Google Workspace (Docs, Sheets, Forms, Gmail, Calendar).
  • Experience with school information systems, preferably PowerSchool.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities.
  • Technological competence and comfort learning new systems.
  • Ability to work independently as a self-starter while also contributing as part of a team.
  • Flexibility, patience, and the ability to manage interruptions and shifting priorities.
  • Excellent verbal and written communication skills.

Primary Responsibilities:

 Front Office Leadership & Customer Experience

  • Greet and assist all students, families, and visitors with a warm, professional demeanor, creating a welcoming school environment.
  • Serve as the first point of contact by answering phones, emails, and in-person inquiries in a timely and helpful manner.
  • Provide accurate information and direct individuals to appropriate staff members as needed.
  • Maintain a calm, positive, and solution-oriented approach when addressing questions, concerns, or unexpected situations.

 Student Information & Attendance Management

  • Accurately record and monitor daily student attendance, including absences and tardies.
  • Maintain and update student records with a high level of organization, accuracy, and confidentiality.
  • Utilize school information systems (e.g., PowerSchool) to input, manage, and retrieve student data.
  • Communicate attendance-related information with families and staff, ensuring timely and accurate reporting.
  • Communicate eligibility-related information to the Athletic Director on a regular basis.
  • Support pupil accounting processes in compliance with school and state requirements.

Administrative & Operational Support

  • Provide administrative support to school leadership and staff, including scheduling calendar events and preparing special documents.
  • Assist with drafting and distributing school communications to families and staff.
  • Maintain organized filing systems (digital and physical) for records and documents.
  • Monitor and manage office supplies and support general office operations.
  • Assist in coordinating school events, activities, and day-to-day operational needs.

Organizational Coordination & Problem Solving

  • Manage multiple tasks, interruptions, and shifting priorities in a fast-paced environment.
  • Demonstrate initiative as a self-starter by identifying needs and following through independently.
  • Provide flexible support across a variety of school functions as needed.
  • Assist students, staff, and families with problem-solving in a professional and timely manner.
  • Maintain confidentiality and exercise sound judgment in all responsibilities.
